Our role in your privacy
At Stamp Free we provide technology to transform shipping and returns, to help anyone who wishes to send or return parcels and letters. We provide our technical solutions through carrier, postal and retail organisations who ensure the delivery of your item to the recipient. We may handle personal data as part of providing our services. This notice explains how we protect that data and respect your privacy.
Who does this notice apply to?
If you use a Stamp Free application, or a website or app of a third party which uses Stamp Free’s technology; if you are the recipient of an item sent to, from or via a Stamp Free customer; or if you’re just visiting our website – then this notice applies to you.
Our responsibilities
If this notice applies to you and we hold personal data about you, then we (Stamp Free Limited, company number SC608907) are the “data controller” of that personal data, or in some cases (where we work on behalf of third parties) we are a “data processor” on behalf of a data controller. In either case, we collect, use and share information about you in accordance with this Notice and in accordance with law.

This Notice is subject to the laws of Scotland and the exclusive jurisdiction of the Scottish Courts. Some terms used in this Notice have the meanings given to them in the GDPR (Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016, as it forms part of the law of the United Kingdom).
Your responsibilities
By sharing your personal data with us, you confirm that you have the right to authorise us to process it on your behalf in accordance with this Notice. We may make changes to this Notice from time to time and you should regularly review this page.
The data we collect
We currently collect and process the following categories of personal data – see below for more information.
• Details about you: Your name, address, email address and mobile phone number, and a contact history of any contact we have had with you
• If you are sending a postal item: details about the recipient of that item (such as name, address, email address and mobile phone number), and images of any postal item containing a code generated by Stamp Free (alongside the name and address of the recipient)
• Details about the services we have provided to you: including purchasing records and records of payments
• International shipping: any information required for the completion of customs and similar declarations
• Data on how you use our services: your device, browser type, IP address and operating system, usage times, login information and system interactions.
Special category personal data
We do not generally process special category personal data (sometimes known as sensitive personal data).
We may process personal details of children if they are the recipient of an item or use our services to send a parcel, although we may not always be aware that any personal data relates to children. If a parent, guardian or carer contacts us about personal data of a child in their care then we will (subject to establishing their identity and otherwise satisfying ourselves as to the legitimacy of the contact) respond to that parent, guardian or carer about the child’s data.
How we obtain your data
We may obtain your personal data in the following ways.
Interactions with you
We may collect your data when:
• you use a Stamp Free application or a third party application which links to our services, including our AppFree solution via WhatsApp or other social media apps
• you provide us with information, either through our website, emails with us or otherwise
• you chat with our Customer Support team
• you update your marketing preferences
Interactions with our website
When you visit our website, we automatically collect a limited amount of information about your computer, for example your IP address, geographical location, information about your visit and how you use our site.
From information which our customers and other third parties give to us
We may receive information about you from retailers or carriers, or from organisations which provide us with leads for marketing purposes.
If you have accessed Stamp Free’s services through another organisation (such as a retailer or a carrier), that organisation may provide us with personal information to allow us to integrate our services with your user journey with the other organisation.
How is your personal data used?
How does Stamp Free use your personal data?
We may use your personal data for the following purposes:
• on the basis of contract: to provide services to you where there is a contract in place with a carrier or retailer or other customer of ours
• also on the basis of contract: to provide you with access to a carrier service, such as to ensure delivery of parcels or returns, or to provide updates on delivery status, or to support carriers or retailers to do so
• on the basis of legitimate interest: to let you know about our products and services (either where you have given us your consent to marketing or where it is otherwise lawful for us to do so)
• on the basis of legal obligation: to comply with our legal obligations, such as to provide governments with required information, to prevent crime and cooperate with law enforcement or regulatory agencies, or (for items being sent internationally) for customs, tax and security screening purposes.
How do other organisations use your personal data?
We work with carefully selected organisations such as retailers, carriers and social media providers, who use your personal data to enable us and them to deliver services to you, and to meet their own legal and regulatory requirements. You should check their privacy policies to find out how they may use your data.
We use payment providers to act as our payment processor. They store payment credentials to allow us to collect payments. Stamp Free never has access to your payment information.
We may share data with carriers to enable them to provide postal services to you. In these instances, we are acting as Joint Controllers of your data alongside the carrier. The carrier will use your personal data in order to carry out its delivery services, and we will use your personal data in order to provide our technical services to the carrier.
Do we pass personal data to other third parties?
Except as set out in this Notice, we do not disclose any of your personal data to other parties without your explicit and freely given consent, unless we are legally required to do so by (for example, a court order, for the purposes of prevention of fraud or other crime, or by a competent regulator).
Transferring your personal data overseas
We process your data in the United Kingdom, or in other jurisdictions only where legal requirements are met to ensure your privacy. Where we transfer data outside the UK, we do so under UK adequacy regulations or standard contractual clauses.
Your rights
Under UK data protection legislation, you have a number of rights.
• Your right of access - you have the right to ask us for copies of your personal data
• Your right to rectification - you have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
• Your right to erasure - you have the right to ask us to erase your personal information in certain circumstances.
• Your right to restriction of processing - you have the right to ask us to restrict the processing of your personal information in certain circumstances.
• Your right to object to processing - you have the right to object to the processing of your personal information in certain circumstances.
• Your right to data portability - you have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You can opt out of us using your data for marketing purposes, even if you have previously agreed to this.
You are not required to pay any charge for exercising your rights. We may not be able to, or required to, comply with any request to exercise rights where there is a lawful reason otherwise. Where we are a data processor not a data controller, we will pass on any request to the relevant data controller.

How long do we keep your data for?
We have procedures in place to ensure that information is not kept for longer than is necessary. We will retain information about all postage transactions for 4 years as this is required for UK customs regulations.
We will retain personal data about you for as long as your account is active. After account cancellation we will retain information for a year, or for longer if necessary to comply with our legal or regulatory obligations, to resolve any dispute or to enforce our agreements.
If we do need to retain information after termination, we will ensure that your data is archived in a way that access is restricted.
Subject to our legal or regulatory obligations, if we delete any data (following a request from you), we will ensure that it is promptly deleted or otherwise rendered unusable from within our systems and that we will no longer have access to that data.
How we keep your data secure
We have physical, electronic and managerial procedures in place to safeguard and secure the information we collect.
However, please remember:
• you provide personal data at your own risk: unfortunately, no data transmission is guaranteed to be 100% secure
• you are responsible for keeping your password secret and safe

Use of cookies
We use cookies. A cookie is a small piece of code, sent from a website to a user's internet browser, which allows that website to track the user's previous activity when they return to that website. This allows us to provide you with the experience that you expect from us and lets us continually improve our service.
How can I block cookies?
You can block or delete cookies through your browser settings, or by rejecting cookies when our website asks you to consent. If you disable, reject, or block cookies (including essential cookies), certain parts of our website and product will not function fully. In some cases, they may not be accessible at all. We do not have any control over the use of cookies by our third parties. To manage cookies from third party websites you will need to visit their site to adjust your settings.
Which types of cookies do we use?
We use only analytical cookies. These allow us to recognise and follow visitors on our website. This helps us to improve the way our website works, for example, by ensuring that users are finding what they are looking for easily.
